Form Submissions showing up in site searches

    Hi, we have realised that all the form submissions have been saving to the database and then showing up if anyone does a site search. We have now changed the settings to stop the forms saving to database but previously saved ones are still up there and still showing up in the searches. How do I remove these from the database to prevent this happening. Where do i find them in there. I don't mind going in and doing this but I want to know exactly where to go and look to find them.

    These forms are taking personal information from the users.

    Hello Nat,

    Users are able to view your Dynamic Form form submissions by searching your site???

    Can you please provide me with an example URL in which Users would see the results of a form?

    I would recommend going into all of your Dynamic Forms's Module Configuration -> View Results Options: Then from this section you can enable a Security Role in which allows only people in that Role to have access to this page/ View Form Results.

    By restricting access by Role Permission, anytime someone searches this site and attempts to view this page, it will no longer be accessible.

    If you're still interested in deleting Dynamic Form Submission information, then you'll need to look into the DynamicForms_QuestionResponse table.

    This table is responsible for containing all Dynamic Form submission information. You can JOIN DynamicForms_Question to DynamicForms_QuestionResponse in order to figure out which information comes from which form.

    You should also be aware that anytime you do an export to Excel, that Excel (or csv file) is ALSO being saved to a folder on your web server! If you have that server set up to be searchable in IIS, anyone can get to those files and see them. 

    I recommend, if you have sensitive data being submitted in a form, to write a script to clear these files out of that folder (default is \Portals\0\DynamicForms_Exports) on a regular basis and make sure you have your IIS settings set to not allow searching of those folders.

    If you don't allow the results to be saved to the database, you won't be able to export them to excel at a later date. The only way you will be able to get the data that is submitted via your form will be through an email you set up in your completion events. (At least, that is my understanding!)

    Hello Julie,

    It's true that when exporting to Excel an Excel file is being uploaded to a Folder named "DynamicForms_Exports".

    However users can't just reference the base folder DynamicForms_Exports and see all of the files in this folder. A user would have to know the exact name of the Excel file in order to have access.

    The likely hood of someone knowing the name of an Excel file that was exported is slim to none if they weren't given access.

    The name of the generated Excel file is determined by a Unique GUID(36 character random Alphanumeric string).

    Also Julie, you can Create a SQL Table and insert the inputted Dynamic Form results into the SQL table upon form completion. Then use a Dynamic View to pull in all of these results. Dynamic Views has an Export to Excel and Export to PDF capability.
